Arizona State Reporting

The numbers speak for themselves: The State Reporting Department (SRD), a department that submits student data to the Arizona Department of Education (ADE) for funding, proves its numbers are right on.   Over the last few years, the SRD has become a major asset to Yuma School District One and Yuma Union High School District #70. There are currently 22,000 students enrolled between the districts.  Data from these 22,000 students are handled by a workforce of five. This workforce, a manager and four Technical Support II positions, handle a huge amount of data on a daily basis. Look at these numbers:

  • 22,000 Students between both districts
  • 20,000 + Transactions reported every 10 days
  • 419,000 + Transactions reported yearly
  • (3) Tech Support II (at a ratio of 7,300 students per tech)
    • Generate files, identify invalid data and upload data to SAIS
  • Mgr and (4) Tech Support II (at a ratio of 4,400 students per person)
    • Research data integrity issues that could result in loss of funding
    • (1) Tech Support II’s additional duties include being a liaison between the school district/schools and the SRD.
  • (1) Tech Support II
    • Works exclusively on research and development of state and federal compliancy as it pertains to student data transactions and SAIS reporting. 

Though the numbers are impressive; what is even more impressive is what makes up these numbers and how the SRD handles them. Presently, the ADE Student Accountability Information System (SAIS) requires 23 different data transactions, which contain 328 elements, for the student data. The data that is generated by the SRD to make up these transactions contain information such as student identification and demographics, district of residence, school membership, withdrawal from a membership, grade membership, absences, student needs (e.g., a disability or a language need), assessments, and participation in programs/services (e.g., language programs or special education services).

The SRD not only generates the data from the Student Management System (SMS), but they must look at every individual transaction and confirm that the elements meet the SAIS requirements. This means that they are going through 20,000+ transactions every 10 days of the school year! 

To accomplish the primary goal of reporting accurate data to SAIS in a timely manner, the SRD must be a well organized, detail oriented, and hard working team; they must be proficient in the rules and requirements of State Reporting as it pertains to ADE and SAIS. A district liaison for each district was appointed to assist with data integrity as well. Organization and detail is revealed by managing multiple tasks and conflicting priorities. They strive to come together and meet the strict state and federal deadlines. The SRD must have working knowledge of SQL (Structured Query Language), excel, UNIX, and work on dual OS platforms to accomplish their goals.

In order to keep the SMS compliant with state and federal law, a strong working relationship has been cultivated with their SMS vendors’ developers, programmers and analyst. This relationship has also given them an opportunity to design user-friendly functions. These types of functions not only alleviate steps but assist with the production of accurate data.

The State Reporting Department is an asset to both districts because of their dedication and goals.  They know that they play a major role in the funding for 22,000 students’ education. They take advantage of every opportunity to gain knowledge from the ADE. This knowledge will assist them in maximizing funding.
